This Refund Policy applies to all services provided by River City Hotel Group through hotelHuddle.com, including our name-your-price hotel negotiation platform, Agoda instant booking integration, and subscription services.
Negotiation Request Fees
Pay-Per-Negotiation ($2.00)
When you submit a name-your-price hotel negotiation request:
- Pricing: You are charged $2.00 for each hotel negotiation request submitted.
- Before Submission: You may cancel your negotiation request at any time before it is submitted to hotels and receive a full refund.
- After Submission: Once your negotiation request has been submitted to hotels, the fee is non-refundable as the service has been rendered.
- Technical Issues: If a technical error prevents your negotiation from being submitted, contact us within 48 hours for a full refund or resubmission.
Subscription ($4.99/month)
For users with an active subscription:
- Unlimited Negotiations: Subscribers may submit unlimited name-your-price negotiation requests during their active subscription period.
- Cancellation: You may cancel your subscription at any time. Your subscription will remain active until the end of the current billing period.
- No Prorated Refunds: We do not provide prorated refunds for partial billing periods.
- Free Trial: If we offer a free trial, you will not be charged until the trial period ends. Cancel before the trial ends to avoid charges.
Agoda Instant Booking Refunds
hotelHuddle offers instant booking through our Agoda partnership. These bookings are processed directly by Agoda and subject to Agoda's cancellation and refund policies.
Important: hotelHuddle does not process payments or handle refunds for Agoda bookings. All Agoda booking refunds must be requested through Agoda's customer service.
Agoda booking policies vary by property and rate type:
- Flexible Rate: Free cancellation up to 24-48 hours before check-in
- Non-Refundable Rate: No refund for cancellations (discounted rate)
- Partially Refundable: Refund minus one night's stay or cancellation fee
Always review the specific cancellation policy displayed on your Agoda booking confirmation before confirming any reservation.
Hotel Negotiation Booking Refunds
For successful name-your-price negotiations that result in hotel bookings:
Important: River City Hotel Group is a marketplace that connects you with hotels. We do not directly handle hotel bookings or payments to hotels.
Refund policies for hotel reservations are set by each individual hotel and will be clearly displayed before you confirm any booking. The hotel's cancellation policy will be included in your booking confirmation email.
Affiliate Disclosure
hotelHuddle participates in the Agoda Affiliate Program. When you book through Agoda links on our site, we may earn a commission at no additional cost to you. This does not affect the price you pay or your eligibility for refunds, which are governed solely by Agoda's policies and the individual hotel's terms.

How to Request a Refund
To request a refund for a negotiation request fee or subscription charge (NOT Agoda bookings):
- Email: Send your request to billing@rchotelgroup.com
- Include: Your account email, transaction date, and reason for refund request
- Timeline: Submit refund requests within 30 days of the charge
We will respond to refund requests within 5 business days.
For Agoda Booking Refunds: Contact Agoda customer service directly through your Agoda booking confirmation or at agoda.com/customer-service.
Processing Time
Approved refunds for hotelHuddle fees will be processed to your original payment method within:
- Credit/Debit Cards: 5-10 business days
- PayPal: 3-5 business days
The time it takes for the refund to appear in your account depends on your financial institution.
Disputed Charges
If you believe you have been charged incorrectly for hotelHuddle services, please contact us first at billing@rchotelgroup.com before filing a dispute with your bank or payment provider. We will work with you to resolve the issue promptly.
For disputed charges related to Agoda bookings, contact Agoda customer service directly.
Changes to This Policy
We may update this Refund Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
