The Event and the Room Demand
Indiana’s second annual Emerging Leaders Forum runs Wednesday, October 7, 2026, at the Indiana Convention Center in Meeting Rooms 231-239. Doors open at 8:30 a.m. and the program closes at 4:45 p.m. The venue forecasts 220 attendees.
A one-day program produces one room-demand shape: a single midweek night in downtown Indianapolis. Most hotels set group terms around stays of three or four nights.
The Week’s Event Calendar
The Indiana Convention Center lists twelve events between September 22 and October 15, 2026. The Gas Machinery Conference runs October 4 to 7, with a forecast 900 attendees. The ISBA/IAPSS Annual Conference runs October 5 to 6 with a forecast 1,000. The FullScale Symposium and the American Dental Association Scientific Sessions both open Thursday, October 8, and both run through October 10, with forecast attendance of 1,000 and 4,000.
Two facts follow from those dates. The Gas Machinery Conference is in the building on Tuesday, October 6. The morning of Thursday, October 8 brings 5,000 forecast attendees into the building across the two programs that open that day. A request for the night of Wednesday, October 7 sits between them.
Downtown Indianapolis holds 7,100 hotel rooms, and the convention center states that more than half sit within blocks of the venue and Lucas Oil Stadium. The venue counts 4,700 rooms connected by skywalk. Visit Indy’s connected-hotel package lists 12 hotels and 5,200 rooms once the Signia Hilton Indianapolis opens.
Send One Request to Several Properties
A 220-delegate group will not fill a hotel for one night. The leverage sits in the number of properties that price the night.
hotelhuddle states that most hotels offer group rates from 10 rooms a night, and that some discount from as few as 5 depending on season and availability. A request for 15 to 30 rooms, sent to more than one property at once, returns offers you can compare.
One submission reaches 50 or more hotels in the destination. Clause 3.2 of hotelhuddle’s terms states that RFP submissions are free, with no charge and no subscription requirement. Clause 3.3 states the platform works to connect you with at least five hotel responses within seven days. The how-it-works page states that hotels respond within 24 to 72 hours.
Put four items in the request: the date, October 7; the room count you can commit to; the room types you need; and the words “one night” in the first line. Ask each property to put its cutoff date in writing.
Rate, Cutoff and Attrition on a Single Night
A flexible rate is cancelable to a stated deadline and carries the highest nightly number. A non-refundable rate sits lower and locks the room on confirmation.
A group block adds two terms. The first is a cutoff date. The second is an attrition clause, which obligates you to pay for a share of the rooms you do not pick up.
On a one-night booking, attrition is the first clause to read. Ask the property to state the cutoff date, the release time on that date, the deposit and the cancellation deadline in writing. Ask what happens when you release rooms ahead of the cutoff. The figures are the property’s own terms.
The Arithmetic Before You Take a Non-Refundable Rate
A three-night group spreads one weak night across three. A one-night group carries the whole stay in every room, so the downside lands on the same total.
Run three numbers. Subtract the non-refundable rate from the flexible rate. Multiply by the rooms you are holding. Weigh the total against the deposit and any attrition payment you would owe on a cancellation.
The how-it-works page states that the platform adds no markup to your rate, and that you pay the property directly.
Skywalks, Parking and the Airport
Skywalks link the connected hotels to the convention center. The venue states that closing and reopening times follow the events in the building, with a rule of thumb of about 11:00 p.m. for evening lockdown and about 6:00 a.m. for reopening.
Denison Parking operates every Indiana Convention Center and Lucas Oil Stadium lot. Downtown holds more than 70,000 parking spaces, and the venue points to online reservation and pre-payment for its own lots. Indianapolis International Airport is about 15 minutes away.

Embassy Suites by Hilton Indianapolis-Downtown, 110 West Washington Street — 360 rooms. Crowne Plaza Indianapolis Downtown Union Station, 123 West Louisiana Street — 273 rooms. Conrad Indianapolis, 50 West Washington Street — 247 rooms. Courtyard Indianapolis Downtown and SpringHill Suites Indianapolis Downtown at 601 West Washington Street, with Fairfield by Marriott Inn & Suites Indianapolis Downtown at 501 West Washington Street — 621 rooms across the three. Le Méridien Indianapolis, 123 South Illinois Street — 100 rooms.
Signia Hilton Indianapolis sits in the package at 803 rooms. Visit Indy’s package states the project is expected to open in 2026. A convention center news item dated April 21, 2026 states the hotel is accepting reservations for February 2027. Confirm the date before you count those rooms.
Send the Request Early
Two programs open on Thursday, October 8 and both run through October 10. Submit the request early, hold the cutoff date in writing, and keep a flexible rate available until attendance is certain.
