The nights the expo needs
The Best Practices 2026 EXPO & Conference runs 13 to 15 October 2026 at the Indiana Convention Center, 100 South Capitol Ave, Indianapolis. The venue forecasts 1,200 attendees. The programme covers industrial plant utilities: compressed air, nitrogen, HVAC and process cooling, and blower and vacuum systems.
Three midweek nights cover this show. Conference Session #1 begins at 8:00 a.m. on Tuesday 13 October. Arrival for that session falls on Monday the 12th. Thursday the 15th holds Session #5 from 8:00 to 10:00 a.m. and Session #6 from 10:15 a.m. to 12:15 p.m. Wednesday the 14th carries working sessions into the evening.
Book the nights of Monday 12, Tuesday 13 and Wednesday 14, with a Thursday checkout. Read as Tuesday 13 to Thursday 15, the same span covers two nights.
Two official blocks
The organiser publishes reduced rates at two hotels that link to the Center through indoor walking tunnels. Crowne Plaza Downtown Union Station lists at $214 a night. The organiser extended that group pricing cut-off to Friday 25 September. Hyatt Regency Indianapolis lists at $229 a night. The reserve-by date for that rate was Friday 18 September. That date has passed.
Both entries state that reduced-rate rooms are limited. The travel page routes reservation questions and changes to the organiser's publishing office by email.
The connected inventory
Visit Indy counts 12 hotels and 5,200 rooms in the connected package. The Center's own numbers block counts 4,700 rooms connected by skywalk. The two pages carry different figures for the same district.
Room counts on the Visit Indy list: JW Marriott Indianapolis 1,005; the Westin Indianapolis 575; the Hyatt Regency Indianapolis 499; Embassy Suites Indianapolis Downtown 360; Crowne Plaza Indianapolis Downtown Union Station 273; Conrad Indianapolis 247; Le Méridien Indianapolis 100. Courtyard, SpringHill Suites and Fairfield Inn & Suites share 621 rooms between them.
The facility guide counts 4,717 of downtown's 7,200 rooms on the skywalk system. The venue footer count is 7,100 downtown rooms. Both counts leave about 2,400 downtown rooms off the skywalk.
The rate read
Engine measures Indianapolis at $128 a night across 1.2 million public rate observations from May 2024 to April 2026. October averages $134, five percent above that city average. May peaks at $158 and February bottoms at $107, a 32 percent swing across the year.
Engine draws those figures from searches made 10 to 180 days before check-in. Engine's own reading is that the month of stay moves the number further than the booking lead time. Engine publishes no weekday split for the city, so a midweek figure has to come from the properties.
Rate structure to ask for
Ask each property for its cancellation deadline in writing. A flexible rate carries that deadline. A non-refundable rate drops the change rights and lowers the nightly number. A group block carries a room count, a release date and an attrition clause.
The Center's calendar shows the demand on these nights. Metal Treating Institute's Furnaces North America runs 12 to 15 October. The Indiana IT Symposium takes Sagamore Ballroom 4-5 on the 14th. The Economic Club of Indiana holds its October luncheon in the 500 Ballroom on the 13th.
Parking and the walk
Denison Parking operates every Center and Lucas Oil Stadium lot and takes reserve-and-pre-pay bookings. Its number is (317) 916-1760. Downtown holds more than 70,000 parking spaces. The Downtown Indy Alliance map carries pricing and hours.
The skywalk locks down near 11:00 p.m. and reopens near 6:00 a.m. by the venue's rule of thumb. The venue calls that window event-dependent. The Center reports 200 downtown restaurants within walking distance and 15 minutes to Indianapolis International Airport. The organiser's travel page prints a 23-minute drive from the same airport.
Registration and the group channel
A full conference pass runs $550 at the early-bird rate through 30 September. The standard price is $675 from 1 October. A single-day pass runs $295 and $350 on the same step.
The organiser publishes no group discount on the travel page. Its registration and attendee assistance contact is Patty Mackey at (412) 409-4421. The travel page carries a housing warning: no organiser-authorised organisation will contact attendees about hotel rooms, and attendees should report any such contact.
What hotelhuddle publishes
hotelhuddle sends one request to 50 or more hotels in a destination. Rate submissions carry no charge. Hotels respond in 24 to 72 hours. Terms clause 3.2 states that RFP submissions are free. Clause 4.2 states that no fee is charged at submission. The platform adds no markup to the rate paid to the hotel.
Most hotels in the network price group rates from 10 rooms a night. Some price from five rooms, depending on season and availability.
