What the organiser publishes about a band block
Music for All runs the Indianapolis Super Regional of the Bands of America Marching Band Championships at Lucas Oil Stadium on 16 and 17 October 2026. The venue lists over 90 high school marching bands from 10 states.
The organiser's registration pages, the event page and the venue's event page carry enrolment terms and a performance schedule. None of them carries a housing bureau, a room block, a preference form or a rooming-list deadline. Lodging sits with the venue.
The venue's Hotels & Lodging link opens a Visit Indy reservation list for Lucas Oil Stadium. Its data carries 64 properties. Thirty-one sit inside a mile of the stadium and the list runs from 0.03 miles to 9.97 miles. Star ratings run from two to four and a half. Rates appear once dates are entered, and the page carries an assistance line on 800-350-6181.
The enrolment sequence and the two dates that bind
Enrol by 31 January 2026 to enter the initial draw for preliminary performance times. The Super Regional enrolment fee is $925. A band that misses the deadline can still register while space remains, and its performance time then follows its postmark.
Every balance falls due on 15 May 2026. A band that has not paid in full by that date forfeits its performance draw. An application unpaid by 31 May 2026 is cancelled without refund.
The application needs the director's signature and the principal's or superintendent's signature. The administrator named on the form receives a consent form by email at the moment of submission.
A band that asks for a Friday slot performs on Friday. The 30 bands farthest from the venue take Saturday priority, and the bands closest to Indianapolis fill Friday once the Saturday slots close. The organiser measures that distance from the school's street address to the stadium's street address.
The clock that sets the nights
Friday prelims start at 7:00 a.m. with Connersville H.S. and end at 10:45 p.m. with Brownsburg H.S. Saturday prelims start at 7:00 a.m. with Monrovia H.S., and the published order runs to 3:15 p.m. Fourteen bands advance to Saturday evening's finals.
The venue adds its own clock. The ticket office opens at 6:45 a.m. and the North Gate opens at 7:00 a.m.
A band in Friday's first block needs Thursday 15 October. A band that stays for Saturday finals needs Saturday 17 October and a Sunday 18 October checkout. That is three nights at the top end and one at the bottom. Fix the nights with the director before holding rooms.
Downtown, the outer market and the walk back
The venue publishes more than half of downtown's 7,100 hotel rooms within blocks of the Convention Center and Lucas Oil Stadium. It counts 4,700 rooms connected by skywalk, and the skywalk shuts at about 11:00 p.m. and reopens at about 6:00 a.m.
Friday's last block ends at 10:45 p.m. Fifteen minutes separate that closer from the published shut-off. A group that walks from a connected hotel has a different evening from one that loads a bus at that hour.
The Visit Indy list carries the outer market as well, at up to 9.97 miles. Bus parking at the stadium is published. The LOS South Lot is entered through Gates 6 and 7, costs $25 and runs first come, first served. Denison Parking operates every Convention Center and Lucas Oil Stadium lot, and downtown holds more than 70,000 parking spaces.
October prices above the city's year. Engine puts the Indianapolis average at $128 a night across 1.2 million observations from May 2024 to April 2026, and October at $134, five per cent above that average. The year swings 32 per cent between February and May. Those are par rates from searches made 10 to 180 days before check-in.
Credentials, tickets and the office that answers
Each competing band receives 31 credentials and can buy up to 10 more. Bus driver wristbands match the vehicle passes a band requests. A director can request up to two medical passes for nurses. The event issues no videographer passes, and every spectator needs a ticket or a pass.
Ticketing is digital and card only. Tickets went on sale 3 August. Prelims tickets for 16 and 17 October sell separately from finals tickets for 17 October.
Two signatures decide the entry. The director signs the application and the administrator named on it receives the consent form. Music for All Inc. sits at 39 W. No page of the organiser's or the venue's publishes either, and no page publishes a rooming-list deadline of any length.
The block a band can hold
hotelhuddle sends one request to 50 or more properties at no charge, returns responses in 24 to 72 hours and adds no markup to the rate. Hotels pay the platform a commission on a booked stay. Group rates start at 10 rooms per night, and some properties quote from five.
Ask each property for the room release date, the attrition terms and whether it works from a rooming list. Those three terms decide whether a band block survives a change in the number of performing students.
