The Meeting and the Room Count
Henry Schein holds its 2027 National Sales Meeting at the Indiana Convention Center from February 2 to 4, 2027. The venue lists the meeting in Exhibit Hall A-B and forecasts 2,000 attendees. February 2 is a Tuesday and February 4 is a Thursday.
Downtown Indianapolis holds 7,100 hotel rooms, and the Convention Center counts 4,700 of them as skywalk-connected. Visit Indy counts the connected package at 12 hotels and 5,200 rooms, among them the Embassy Suites Indianapolis Downtown at 110 West Washington Street with 360 sleeping rooms and the Crowne Plaza Indianapolis Downtown Union Station at 123 West Louisiana Street with 273.
Two Nights and the Optional Monday
A Tuesday start against a Thursday close is two nights: Tuesday and Wednesday, checking out on Thursday. Add Monday February 1 if the team needs to be in the building before the first session, and price that night on its own. The venue calendar carries no other event on February 1.
Most hotels quote group rates from 10 rooms per night and some from 5 depending on the season, so a two-night request clears the minimum at most downtown properties. Send the Monday as a separate line item, and each property prices it apart from the core stay.
February Is the Low Month
Engine publishes an Indianapolis average of $128 a night across 1.2 million public rate observations from May 2024 to April 2026. February reads $107, which is 16 percent below the average and the lowest month in the table. January reads $114, March $122 and April $133. May reads $158, 23 percent above the average, and the monthly curve swings 32 percent.
Engine defines its figures as par rates, the cheapest publicly available price at the moment of each search, observed 10 to 180 days before check-in, and not negotiated or booked rates. Indianapolis ranks 39th of 50 major markets in the dataset, 14 percent below the $148 median. Engine's own reading puts the month of stay ahead of booking lead time as the price lever.
A Connected Room and a Downtown Room
A connected room takes the outdoor walk out of the stay. The Convention Center states the skywalk locks down around 11:00 p.m. and reopens around 6:00 a.m., and that those hours are event-dependent. A team that works past the lockdown moves between the hall and the hotel at street level.
The downtown inventory outside the connected package covers the same dates. The hotelhuddle directory lists the Hyatt Place Indianapolis Downtown at 130 South Pennsylvania Street, the Sheraton Indianapolis City Centre Hotel at 31 West Ohio Street, the Holiday Inn Indianapolis Downtown at 515 South West Street and the Homewood Suites by Hilton Indianapolis-Downtown at 201 South Meridian Street. Ask every shortlisted property to state its connected status in writing.
The two published counts for the network differ. Visit Indy reads 12 hotels and 5,200 rooms, and the Convention Center reads 4,700 skywalk-connected rooms. The Convention Center's April 21, 2026 release states Signia by Hilton Indianapolis, an 800-room property, accepts reservations for stays beginning February 1, 2027, which puts a connected option on the Monday night.
Refundable, Non-Refundable and the Cut-Off
Group contracts arrive in three shapes: a flexible rate with a cancellation window, a non-refundable rate at a lower number, and a block with an attrition clause that charges for contracted rooms the group does not fill.
Ask each property for three items in writing: the date the cancellation window closes, the nightly difference between the flexible and the non-refundable rate, and whether the contract carries an attrition charge and what triggers it. No published source carries those terms for this meeting, and Henry Schein's event site is a trade-show hub with no rate, no room list and no block. The property contract is the number that counts.
The Week Around the Dates
The venue calendar carries no event on February 2, February 3 or February 4 besides this meeting at a forecast 2,000. The Indiana Health and Safety Conference and Expo opens February 7 with 850. The Indiana Green Expo brings 2,000 from February 8 to 10, the Core-Mark Expo brings 1,500 from February 10 to 11, the American Football Coaches Association convention brings 7,000 from February 14 to 16, and the WWETT Show brings 14,000 from February 22 to 25. The Indianapolis Royal Weekend closes on January 31.
