The 2027 Indiana Safety and Health Conference and Expo runs February 8-10 at the Indiana Convention Center. The Central Indiana Chapter of ASSP and the Indiana Chamber of Commerce present the event in partnership with INSafe and the Coalition for Construction Safety, and the organisers name one property. The Hyatt Regency Indianapolis is the official hotel, and attendees are asked to reserve by January 15 to receive the conference rate.
One date carries the whole booking
January 15 is the day the booking turns on, and it is not the only deadline sitting on it. The conference's Early Bird registration window closes the same day, and full-price registration begins January 16. The room cut-off and the badge price step land inside the same 24 hours, so an attendee who books in the second half of January pays the late registration rate and loses the negotiated room rate in one move.
Three nights, and the night the venue keeps
The Indiana Convention Center's own event record holds February 7 through February 10. The programme the organiser describes runs February 8-10. February 7, a Sunday, is the night the two published calendars disagree about.
Read the week against the organiser's clock. Pre-conference workshops run February 8. The conference opens that evening with the Welcome Reception and Expo Preview in Hall H from 4:30 to 6 p.m. The Safety Expo runs Tuesday, February 9 from 7:30 a.m. to 4 p.m., followed by a networking reception from 5 to 6 p.m. in the 500 Ballroom Reception Room. The Governor's Workplace Safety Awards luncheon closes the programme on Wednesday, February 10 from 12:15 to 1:30 p.m.
Three nights lands two ways. Check in Monday, February 8 and out Thursday, February 11 for the nights of February 8, 9 and 10. That covers the whole programme and pays for a night the evening events do not use. Or check in Sunday, February 7 and out Wednesday, February 10 for the nights of February 7, 8 and 9. That is the arrival the venue's own hold anticipates, and the only one that reaches a Monday-morning workshop without a same-day check-in.
The organiser's agenda page renders no session clocks for 2027. The published clocks are the ones the registration table and the events page carry, so confirm the Monday workshop start time with the Chamber while the rate deadline can still be met.
What the room costs against the downtown market
Neither the Hyatt Regency nor the Chamber has published a 2027 conference rate, so that figure has to come from the hotel through the group booking route or a direct call.
The market around it is measurable. Engine puts the average Indianapolis nightly rate at $128, drawn from 1.2M public rate observations between May 2024 and April 2026. February is the city's cheapest month at $107, 16 percent below that average, against a May peak of $158 and a 32 percent swing across the year. Engine labels these par rates, the lowest publicly available price at each search, taken from searches made 10 to 180 days before check-in. Its own reading is that the month of stay moves the price further than the booking lead time.
February therefore works in the attendee's favour before any negotiation starts, which makes the block rate the number worth chasing and the January 15 cut-off the date worth protecting. A conference rate earns its keep only if it undercuts $107 a night, so ask the hotel for the conference rate and its best flexible public rate for the same three nights, side by side.
The refund clock the badge carries
The conference cancellation policy grants a full refund on cancellations made no later than two weeks before the programme. After that date no cash refunds are granted, and substitutions are welcome if requested in advance. Two weeks before the organiser's February 8 start is January 25. That covers registration, so put the Hyatt's own cancellation window to the hotel in writing before committing a non-refundable night.
Weather has its own clause. A snow emergency declared in Marion County cancels or postpones the event, with registrations refunded or moved. Attendees travelling from outside Marion County who cannot reach the event receive a credit certificate usable toward any future Indiana Chamber regulatory compliance conference for up to a year, transferable within the company.
What else is in the building those nights
The February 8-10 window carries two more events downtown. The Indiana Green Expo runs at the Indiana Convention Center on the same three days with a forecast attendance of 2,000, and the Core-Mark Expo opens February 10 in Exhibit Hall J-K with a forecast of 1,500.
The center counts 7,100 hotel rooms downtown and 4,700 of them connected by skywalk. Visit Indy counts the connected package as 12 hotels and 5,200 rooms. Those totals do not reconcile, so confirm connected-network status in writing for each property you shortlist.
The Hyatt Regency holds 499 rooms and 35,000 square feet of meeting space, with direct connections to the convention center and Circle Centre mall. Parking is not validated at any location, including the Hyatt. Denison Parking operates every convention center and Lucas Oil Stadium lot, and downtown holds more than 70,000 spaces with pre-payment available online. Skywalks lock down around 11:00 p.m. and reopen around 6:00 a.m.
What to do
Reserve the Hyatt Regency through the group booking route before January 15, register before the Early Bird window closes the same day, and ask the hotel for its cancellation deadline and its spread between the conference and flexible rates in writing. Decide the Sunday night once the Chamber publishes the workshop start times.
