Four nights, and one date that sets the trip
PASIC, the Percussive Arts Society International Convention, runs November 11 to 14, 2026 at the Indiana Convention Center, 100 South Capitol Avenue, Indianapolis, IN 46225. The venue publishes a forecast attendance of 5,200. The organiser tells exhibitors the show reaches over 7,000 attendees. Both figures are published. Put the figure you plan against to the hotel.
A Wednesday November 11 check-in and a Sunday November 15 check-out is four nights: the nights of the 11th, 12th, 13th and 14th. That calendar matches the badge window. The four-day badge covers Wednesday through Saturday. One-day badges are sold for Thursday the 12th, Friday the 13th or Saturday the 14th.
The dated lever in this booking is October 29.
Badge refunds close October 29
Online registration closes October 29. Refunds are available through October 29 with a $50 cancellation fee. No refunds issue after that date, and the organiser states the cut-off includes attendees who are offered badges by exhibitors. Cancellations go by phone to the PAS office at 317-974-4488.
On-site registration carries no discount. The four-day student member badge is $235 online against $250 on site. The four-day member badge is $300 against $400 on site. The four-day non-member badge is $350 against $400. One-day badges run $85 student member, $110 member and $175 non-member online, against $150, $175 and $175 on site. Prices stepped up before June 16 and again before September 2.
Group pricing for badges is available by email to membership@pas.org. That channel covers registration, not rooms.
Housing runs through MCI
MCI is the official housing provider for PASIC 2026 and runs the booking portal linked from the convention's own pages. The portal carries individual reservations, a group block request for ten rooms or more, a route to modify an existing reservation, group reservation management, hotel descriptions and a rooming list template.
The rooming list template is a spreadsheet. MCI instructs the group contact to complete every red-font field per reservation before uploading the file to Passkey. The group request link resolves to a Passkey survey form, and no rate table sits there.
Sixteen properties appear on the portal's lodging page. They include the Hyatt Regency Indianapolis, the Indianapolis Marriott Downtown, the JW Marriott Indianapolis, The Westin Indianapolis, the Embassy Suites Indianapolis Downtown, the Courtyard by Marriott Downtown Indianapolis, the Fairfield Inn & Suites Indianapolis Downtown, the SpringHill Suites Indianapolis Downtown, the Hyatt Place Indianapolis Downtown, the Holiday Inn Indianapolis Downtown, the Staybridge Suites Indianapolis Downtown Convention Center and the Hampton Inn Indianapolis Canal IUPUI.
No nightly rate renders on those pages until you enter dates. MCI states that a booking made direct with a hotel gives up both the official rate and MCI's on-site support.
Where the cancellation terms live
MCI publishes the housing terms. Changes and cancellations are free before the hotel's listed policy date. That date varies by property, and MCI directs the reader to the individual hotel's policy printed on the booking confirmation.
A credit card is required at check-in for incidentals, and the hotel sets the hold amount. MCI warns against using a debit card. Suite requests need approval. Meeting space requests go to the hotel first, then to PASIC for review.
Read the cancellation date on your confirmation before October 29. The badge deadline and the room's policy date are two separate clocks.
A skywalk room or a downtown room
The Indiana Convention Center publishes 7,100 hotel rooms in downtown Indianapolis, with 4,700 connected by skywalk. Visit Indy counts its connected package at 12 hotels and 5,200 rooms, and lists the Hyatt Regency Indianapolis at 499 rooms with direct connections to the convention center and Circle Centre mall.
Two of the connected properties sit on the PASIC portal's own roster. The Hyatt Regency Indianapolis and the JW Marriott Indianapolis both appear there.
The skywalk has hours. The Convention Center publishes lockdown at approximately 11:00 p.m. and reopening at approximately 6:00 a.m., and states the window is event-dependent. PASIC evening concerts run after the daytime sessions. Check the published end time of the performance you want against that lockdown.
The cheaper downtown option sits on the same official roster outside the connected package. The Hampton Inn Indianapolis Canal IUPUI, the Holiday Inn Indianapolis Downtown and the Staybridge Suites Indianapolis Downtown Convention Center all appear on the PASIC lodging page, and none of the three is in the connected package.
No rate is published for either group until dates are entered, so the price difference has to come from the portal. Ask MCI for the nightly rate and the cancellation policy date at one connected property and one outside it. Compare those two figures against the walk you would add after a late concert.
What to ask before you book
Ask MCI for the nightly rate at each candidate property, any minimum-stay requirement, and any cut-off on the block. Ask for the hotel's own cancellation policy date in writing. Ask which properties the official rate covers and how long the walk from each one to the Convention Center takes.
Register before October 29 so the badge refund window stays open while you settle the room. Then read the confirmation, find the hotel's policy date, and put it beside the deadline.
